How to create a welcome message

Overview

The Welcome message feature allows you to provide guests with useful information through the guest app, combining introductory content with images, additional information, location details, and an optional catalog.

You can use it to simply welcome guests to the property or create a more complete information space where they can quickly find important details about their stay.

For example, you can use a Welcome message to:

  • Welcome guests to the property: Share a welcome from the hotel team or General Manager and introduce the property.
  • Share essential stay information: Highlight useful details such as reception or breakfast hours, Wi-Fi information, or check-out information.
  • Provide arrival information: Explain where to find reception, how to access the property, or where guests can park.
  • Highlight services and facilities: Add information about relevant services and link guests directly to their pages in the guest app.
  • Share additional content: Add a catalog with products, documents, or other useful content for guests.

Before getting started

Before creating the welcome message, make sure you have:

  • The information you want to share with guests.
  • Translations for all active languages.
  • At least one horizontal image. The recommended image size is 800 × 420 px, with a maximum file size of 1 MB.
  • Any additional content, links, or location information you want to include.
  • If you plan to add a PDF or linked catalog, the corresponding file or URL.

Step-by-step guide

Step 1: Access the welcome message settings

  1. In the CMS, go to Content > Welcome message.

You will be taken directly to the Information tab, where you can start configuring the welcome message.

Step 2: Add the basic information

In the Information tab, go to the Information section and complete the information you want to display to guests:

  • Name: Enter a name that identifies the content, such as Welcome message, General information, or Welcome to [Property name].
  • Subtitle: Add a short text to complement the name or introduce the message.
  • Description: Add the main content of your message. For example, you can welcome guests to the property and briefly introduce the most important information about their stay.

Complete the available fields in all active languages by clicking the flag icon.

Step 3: Add images

In the Images section, add the images you want to display in the Welcome message.

Keep the following recommendations in mind:

  • Recommended dimensions: 800 × 420 px
  • Format: Horizontal
  • Maximum file size: 1 MB

The first image you add will be used as the cover image.

Step 4: Add additional information

Use the Additional information section to provide extra details through information blocks.

For example, you can:

  • Highlight breakfast hours and other useful schedules.
  • Provide practical information about the guest's stay.
  • Add contact details or useful links.
  • Link information to another service or section available in the guest app.

Click Add additional info and select the options you want to include:

  • Title and description: Adds two text fields and an icon that you can customize. You can also activate Link to service to link the information to an existing service in the guest app. For example, you could add the breakfast hours and link the block to the restaurant where breakfast is served.
  • Bullet list: Adds a list of items that you can customize. Use it to highlight key information that guests can quickly scan, such as checkout reminders or useful information about their stay.
  • Dress code: Adds a predefined text field and icon where you can specify any relevant attire requirements.
  • Location description: Use this option to provide information that helps guests find a location, such as a floor number, building, or area of the property.
  • Website: Add a website that guests can access from the Welcome message.
  • Video URL: Add a link to audiovisual content that you want to share with guests.
  • E-mail: Add a contact email address. When guests tap the email address in the guest app, their email client opens automatically.
  • Phone number: Add a contact phone number. When guests tap it in the guest app, the number is dialed automatically. Include the country code, as guests may not have a local phone line.
  • YouTube: Add a YouTube link to share audiovisual content. Activate Open YouTube in browser if you want the content to open in the device's browser.
  • Virtual tour: Add a link to a virtual tour of the property or its facilities.
  • URL list: Add multiple links that may be useful to guests. For websites that cannot be embedded in the guest app, activate Open URL in browser.

Complete the relevant text fields in all active languages by clicking the flag icon.

To remove an additional information item, click the red X icon next to it. If this option is not available:

  1. Click Add additional info.
  2. Select the items you want to remove. Selected items are highlighted.
  3. Close the pop-up window.
  4. Click Save changes.

Step 5: Add tags

In the Tags section, select tags relevant to the welcome message.

Tags help guests find relevant content when using the guest app search.

Step 6: Configure the map location

If the Welcome message is associated with a specific location at the property, activate Map location and select the corresponding point on the map.

For example, you can use the location to indicate where guests can find reception or another relevant point mentioned in the Welcome message.

If a map location is not relevant to your content, leave this option disabled.

Step 7: Add a catalog

Go to the Catalog tab if you want to provide guests with additional content through a catalog.

When adding a catalog:

  1. Enter a name for the catalog.
  2. Select an icon.
  3. Choose the type of catalog you want to use:
    • PDF catalog: Upload a PDF file that guests can view.
    • Linked catalog: Add a link to externally hosted content.
    • Manual catalog: Create and manage the catalog content directly in the CMS. 
  4. Choose whether you want to display an image next to each product in the catalog.
  5. Configure the selected catalog using the standard catalog options available in the CMS. Learn more in this article.

Step 8: Review and save

Before finishing:

  1. Review the information and translations.
  2. Check that the first image is the one you want to use as the cover.
  3. Review any additional information, links, tags, or map location you have configured.
  4. If you added a catalog, check that its content is complete and accessible.
  5. Click Save changes.

Next steps

Once your welcome message is configured:
