How guests use the Guest board
Overview
The Guest board is a social space within the Guest app designed to enhance the stay experience. It allows guests to connect with each other, share recommendations, ask questions, and stay updated on hotel activities in real-time.
This article explains how guests interact with the Guest board, from creating their profile and navigating the different sections to publishing posts and reporting content to ensure a safe community.
Before getting started
Before promoting and making the Guest board visible to guests, you must know that they can access and participate in the board in two ways:
- View-only access: To browse and read posts, guests only need to log in to the Guest app.
- Full interaction: To create posts and replies, guests must log in to the Guest app and complete the specific Guest board profile registration.
Step-by-step guide
Step 1: Log in to the Guest app
The first step is to log in to the Guest app. This is the standard login required to access all services within the app, such as making restaurant reservations, booking a spot for a class, or placing room service and amenity requests. Within the Sign in screen, guests must:
- Enter their full name.
- Enter their room number.
- Select their check-in and check-out dates.
- Click Sign in.
Note: If a user only completes this login step, they will have View-only access.
Step 2: Create a Guest board profile
I To interact with the Guest board (Full interaction), guests must create a specific Guest board profile. This profile is used exclusively within the Guest board. To create a profile guests must follow the following steps:
- Log in to the Guest app (refer to Step 1).
- Click the plus (+) icon in the bottom-right corner.
- A screen titled "Ready to participate?" will appear. Click Create profile.
- Add a profile image.
- Enter the username (maximum 20 characters). Note: This is the public name that all guests will see on the Guest board; it does not have to match the guest's real name.
- Click Save and continue.
- Read the Rules and Guidelines
- Click Agree and finish.
Note: Guests will be prompted to create a profile whenever they attempt an action or interaction within the Guest board. This includes creating a new post or replying to an existing one. Once the profile is created, the system will automatically return the guest to the action that originally triggered the process.
Step 3: Create a post
After creating a Guest board profile, a screen opens to create the first post. This screen can be closed if the guest does not wish to post at that moment. To return to this screen and make a publication guests must follow the following steps:
-
Click the Add post (or "+") button, located in the bottom-right corner. This button is available in all Guest board tabs (All, My posts, and Saved).
-
Add a title. This will be the post title (maximum 200 characters).
Example: Anyone up for a padel match?
-
Add the message. This is the body of the post (maximum 2500 characters).
Example: Hi! We are looking for another couple to play a padel match at the hotel courts today at 18:00
-
Click on Post. The post will now be visible to all Guest board users.
-
To view all their published posts, the guest must go to the My posts tab.
Step 4: View posts and navigate
Guests can browse the Guest board to find posts that are relevant to them. To do so:
- Go to the All tab.
- Scroll to see all published posts.
- Use the Search bar to find specific topics. For example, guests can search for keywords such as "activities," "children," "restaurants," or "pets." The search results will display all posts containing those words in the title. Please note that the keyword search only applies to titles and does not include the body of the post.
Note: Posts are automatically sorted by creation date, from newest to oldest.
Step 5: Interact with others (Replies)
Important: Each post has 3 levels
- Level 1: This is the main post. It can receive replies.
- Level 2 (Level 1 Reply): These are the responses given to the main post. They can also receive replies.
- Level 3 (Level 2 Reply): These are responses to previous replies. This level cannot receive further responses.
To reply to a post guests must follow the following steps:
- Find the post to comment on.
- Click the speech bubble icon below the post to add a comment.
- Write the reply message.
- Click the send icon. The response will automatically become visible to all guests on the Guest board and will appear below the original post.
To enhance interaction between users, guests receive the following notifications:
- Reply to their post
- Type: Guest app notification
- Description: Sent when a user publishes a response (Level 1 or Level 2 reply) to the guest's post.
- Reply to one of their responses
- Type: Guest app notification
- Description: Sent when a user responds to a previous reply made by the guest (Level 2 reply).
- New update on a bookmarked/saved post
- Type: Guest app notification
- Description: Sent when a user replies to a post that the guest has saved using the bookmark tool. This ensures that guests stay informed about interactions in posts of interest, even if they have not commented themselves.
Note: Guest app notifications can be either in-app or push notifications:
- In-app notifications are sent when a guest accesses the Guest app through a web browser.
- Push notifications are sent when the guest has added the app to their smartphone's home screen or if they are using a native Guest app downloaded from an app store.
Step 5: Report inappropriate content
To maintain a safe and friendly community, guests can report posts and their replies:
- Find the post or reply to report.
- Click the Report icon (blocked circle icon) located in the top-right corner of the post.
- Explain the reason for reporting. This is optional (maximum 500 characters).
- Click Send report.
- A green banner will appear stating that the report has been sent to the hotel for review.
Note: Users can report a post or replies from both guest and staff profiles.
Step 6: Save a post
Guests can save posts to keep them identified and easily accessible:
- Find the post you to save.
- Click the Bookmark icon located in the bottom-right corner of the post.
- A green banner stating Saved post will appear, and the bookmark icon will turn red.
- To view these saved posts, go to the Saved tab. From there, the user can see the list of all posts they have saved.
Step 7: Edit profile
Users can edit their profiles at any time to change their profile image or username. To do so:
- Click on the profile photo located at the top of the Guest board, next to the search icon.
- Click on Edit profile.
- From this screen, the image and username can be updated.
- Once the changes are made, click Save changes.
- A green information banner will appear: Your profile changes are saved.
Note: When a user updates their profile, the changes will be automatically updated and visible in both the Guest app and the CMS.
Step 8: Review the rules and guidelines
To create a Guest board profile, users must read and accept the Rules and Guidelines, but they may need to consult them again later. To do so:
- Click on the profile photo located at the top of the Guest board, next to the search icon.
- Click on Rules and guidelines.
- Review the rules and guidelines.
- Close the Rules and Guidelines screen.
Note: Users will always see the version they have accepted. This means that even if the staff updates the rules at a later date, the user will still see the specific version they agreed to.
