How to prepare assets for publishing the guest app in the app stores

Overview

To publish hotel apps in the stores, STAY needs you to provide the technical details, graphics, and text descriptions listed below. Providing these assets correctly allows our team to handle the submission smoothly and helps avoid delays during Apple and Google reviews.

Keep in mind that optimizing the store text and images is also key to improving app visibility, making it much easier for guests to find and download.

Before getting started

Before getting started, make sure you have:

  • Coordinated with the STAY Account Manager to organize the handoff of the assets and information explained in this article.
  • Coordinated with your marketing team to gather the required assets and ensure they comply with brand guidelines.
  • Selected the app's languages. Keep in mind that all required texts must be provided translated into those languages.

Note: English is active by default, but you can request the activation of Spanish, Deutsch, French, Italian and many others.

Step-by-step guide

Step 1: Provide app details and branding assets

We need you to specify the following information and assets:

  1. App title: The exact name of the app as it should appear on Google Play and the App Store. It must have a maximum of 30 characters to ensure it fits on a single line across most devices. This field requires translations for each active language.
  2. Desktop app name: The short title that displays directly beneath the application icon on the smartphone home screen. If you don't specify this name, the App title will be used by default.
  3. Typography (Optional): If the brand uses custom fonts and the tier includes it, we need the specific font files for titles, regular text and body strong text.

    Note:
    If you do not use customized typography, please indicate that this section is N/A.

  4. Logotype: Send us the official brand logo in a vector format (such as SVG or AI).
  5. Brand color: The exact hexadecimal code of the primary corporate color (e.g., #FFFFFF).
  6. Access to the developer account (optional): To publish the app under a specific developer account, STAY must be granted access.

Step 2: Provide metadata for Google play store (Android)

We need the following specific texts and images so STAY can configure the app listing on Android:

  1. Screenshots: Provide between 2 and 8 images showing the app interface (at least 4 are highly recommended).
    • Format: JPEG or 24-bit PNG (no alpha)
    • Dimensions: 9:16 portrait screenshots, minimum 1080x1920px
    • Max Size: 8 MB per image
    • If the screenshots display text, send us the corresponding translated versions.
  2. Feature graphic: A promotional banner image.
    • Format: JPEG or 24-bit PNG (no alpha)
    • Dimensions: 1024 x 500 pixels
    • Max Size: 1 MB
    • If the screenshots display text, send us the corresponding translated versions
  3. Short description: A concise summary of the app's main value proposition.
    • Limit: Maximum 80 characters.
    • Send us the corresponding translated versions
    • Tip: Highlight the main value proposition.
  4. Full Description: A detailed overview explaining the app’s features, amenities, and functionalities.
    • Limit: Maximum 4000 characters.
    • Send us the corresponding translated versions
    • Tip: Use rich formatting (bold, lists) to improve readability. Include relevant keywords for ASO (App Store Optimization).
  5. What’s New: For future version updates, we will need a text detailing the new features or bug fixes.
    • Limit: Up to 500 characters.
    • Send us the corresponding translated versions
  6. Privacy policy: The link (URL) to the official privacy policy webpage.
    • Send us the corresponding translated versions
    • Note: Mandatory if the app accesses sensitive data.
  7. Contact details:
    • Website: A URL where users can find help for the app.
    • Email: Support email address (mandatory).
    • Phone: Optional.
  8. Promo Video (Optional): A YouTube URL showcasing the app in action.
    • Format: YouTube URL.
    • Duration: Recommended between 30 seconds and 2 minutes.
    • Per language: Yes (you can use YouTube subtitles or different videos per language).
    • Tip: Disable ads for the promo video on YouTube.
  9. Tags (Optional): Up to 5 keywords can be indicated from Google's predefined list to help categorize the app content. This helps Google understand the app's content and functionality to show it to relevant users. 

Note: By default, the STAY team will apply “Travel and Local”.

Step 3: Provide metadata for the Apple app store (iOS)

We need the following texts and assets so STAY can prepare the app submission:

  1. Subtitle: A short summary that appears directly beneath the main app name to highlight its purpose.
    • Limit: Maximum 30 characters.
    • Send us the corresponding translated versions
    • Tip: Use it to highlight key features or the app's purpose.
  2. Screenshots: Images showing the app's interface and functionalities.
    • Quantity: Minimum 1, maximum 10 per localization and per device size group.
    • Format: PNG (preferably) or JPEG (no alpha).
    • Required Dimensions: iPhone (6.9"): 1290 x 2796 px (portrait)
    • if the screenshots display text, send us the corresponding translated versions.
    • Tip: The first images are crucial.
  3. App preview videos (Optional): Short videos showcasing the app in action.
    • Quantity: Up to 3 per localization and per device size group.
    • Format: M4V, MP4, or MOV.
    • Duration: 15 to 30 seconds.
    • Send us the corresponding translated versions
    • Tip: Very effective for showing the user experience.
  4. Description:
    • Limit: Maximum 4000 characters.
    • Send us the corresponding translated versions
    • Tip: Structure the text well, use line breaks. Focus on user benefits.
  5. Promotional Text: Text that appears above the description. You can update it at any time without submitting a new app version.
    • Limit: Maximum 170 characters.
    • Send us the corresponding translated versions.
    • Tip: Use it to announce new features, promotions, or events.
  6. Updates: new features or fixes in that version
    • Limit: Up to 4,000 characters.
    • Send us the corresponding translated versions
  7. Keywords: A list of keywords that describe the app. Crucial for App Store search (ASO).
    • Limit: Maximum 100 characters total, separated by commas, with no spaces after the comma.
    • Send us the corresponding translated versions
    • Tip: Research the keywords well. Do not repeat words from the name or subtitle.
  8. Support URL: A URL where users can find help for the app.
    • Per language: Not directly, but the support page can be multilingual.
  9. Privacy Policy URL: URL to the privacy policy. Mandatory if the app collects user data, offers in-app purchases, or is in the "Kids" category.
    • Per language: The policy itself should be accessible and, if necessary, localized.
  10. Copyright Information: The name of the person or entity owning the exclusive rights to the app, preceded by the year the rights were obtained. Example: "2026 CompanyName".
  11. Marketing URL (Optional): A URL where users can find more information about the app.
    • Per language: Not directly, but the marketing page can be multilingual.

Next steps

Once you have gathered all visual branding assets, design files, and completed the descriptive text copy following the specified limits:

  • Compress all graphics, fonts, and docs into a single file folder.
  • Send the compressed folder to the Account manager. Our team will validate that all resolutions, dimension limits, and character counts comply with Apple and Google guidelines before proceeding.
